What important information do I need to know before I issue a certificate?

The following are frequently asked questions (FAQ’s) and there is other information that will be required for completion of a certificate of marine cargo insurance – full instructions are available once you have logged in to the site using your user ID and password.

1) Are you satisfied that you are able to classify the goods according to the site interest / commodity categories?
If you are not then please contact your broker for advice or TT Club.

2) Are you satisfied that the goods shipped are suitably packed or protected for the transit?
If your answer is 'No', please do not issue a certificate but contact your broker for advice or TT Club.

3) Do you know if the goods are in a brand new or used or fully refurbished condition?
If you do not know, please check with the client before issuing a certificate.

4) For previous shipments, has your client ever had any claims or losses?
If you do not know then please check and if the answer is 'Yes' - please do not issue a certificate but obtain the claims or loss details and then contact your broker for advice or TT Club.

Why, after issuing a certificate or choosing to view an old certificate the certificate does not 'pop' up in a separate window?

This is probably because you have a 'pop up blocker' installed on you computer. To be able to view & print certificates of insurance, you will need to turn the blocker off (or allow pop ups from ttclubforwarders.com)

How do I print a certificate?

Once you have had your application accepted by TT Club and have a unique user ID and password, you will be able to insure and issue certificates whenever you log in to the site using the appropriate site menus.

Once you have logged in, full details of how to enter the certificate details are contained within the site.

When you insure a shipment and provided that you have Adobe Acrobat Reader installed on your computer, a Certificate of Marine Cargo Insurance will pop up in a separate browser window for you to print.

If you wish to print a certificate issued at an earlier time, click "Certificate Review" on your main menu, locate & select the certificate number and again a certificate of insurance will appear in a separate browser window.

Do I have to issue certificates immediately?

It is best practice to enter details of all shipments where insurance is required and issue the certificate as soon as possible after being provided with an instruction to insure a cargo.

Cargo insurance is placed at the time when you click “I agree” during the Certificate Request process within this website provided that the certificate is correctly issued in accordance with your policy wording, agreement and any special projects agreed.

Unlike some 'Open Cover' policy agreements there is NO automatic cover in place.

Certificates can be issued in the site up to twenty (20) days after the date of sailing however if the transit has already commenced the certificate will print with the wording "warranted no known or reported losses" as of the date of issue of the certificate. This means that any losses known at the time of certificate issue are not recoverable from underwriters.

Entering certificate requests daily is especially important for air and road only shipments due to the short length of time in transit and possible quicker reporting of losses which could jeopardise a claim against underwriters due to the "no known or reported losses" warranty.

All of these procedures are designed to deny the insuring of a shipment after a loss has occurred. For example: If you ship something by air or road today, it arrives tomorrow and you had meant to enter the insurance request tomorrow, BUT the goods arrive damaged in the meantime: Underwriters will not accept the risk because at the time the request for cover was entered the damage was already known.

What if I do not have all the information to be able to issue a certificate prior to the shipment date and I do not want the "no known or reported losses" warranty to apply?

You can either:

Issue a certificate with as much information as you have at the time but state within the text on the certificate: "This certificate has been issued with incomplete information & will be reissued as soon possible". Then issue a new certificate with the correct information and follow the procedure below for "How do I cancel (void) and replace a certificate?". The new certificate should be issued as soon as you have the missing information.

Send an Email as follows including some of the details that you have:

How do I know when a certificate has been issued?

Once you have entered all of the shipment details, have selected the local surveyor and clicked "I Agree,", provided that you have Adobe Acrobat Reader installed on your Computer, a Certificate of Marine Cargo Insurance will pop up in a separate browser window. You do not need to print the certificate at this time as it is stored within the system and can be viewed and printed at anytime by entering the "Certificate Review" section of the system however we do recommend that it is prudent for you to print and keep a copy of the certificate for your records.

We must stress that you have a legal duty to forward a copy of the certificate in whatever format you choose to your client as they may need proof of the cargo insurance that has been effected on their behalf and the procedures that they might need to undertake in case of loss or damage.

What if I make a mistake when entering a certificate?

For security reasons once a certificate has been issued it cannot be amended.

If you make a mistake when entering a certificate please cancel & replace the certificate as per the instructions below (How do I cancel/void and replace a certificate?).

In certain circumstances, underwriters will simply note their records provided that you email the details of any alterations to your broker or TT Club and receive confirmation.

How do I cancel/void and replace a certificate?

If a certificate you have issued needs to be replaced by another and the sailing date has not been reached then please reissue the certificate using the site menu option "Certificate Reissue".

What if the client decides that they do not require insurance prior to commencement of risk?

Please submit a request to cancel the original certificate using the site menu option "Cancel Certificate", select the certificate number that you wish to cancel from the drop down and in the "Reason for Request" field state:

"Client does not wish to effect insurance prior to commencement of risk. "

Provided that all is in order, TT Club will action your request and the certificate and corresponding invoice will be cancelled.

How do I cancel a certificate without replacing it?

A certificate will be cancelled prior to shipment in certain circumstances, for example if a shipment is cancelled or the client decides that they do not require insurance before the commencement of transit.

Using your site menu option "Cancel Certificate" select the certificate number that you wish to cancel from the drop down and in the "Reason for Request" field state the reason for your cancellation request.

Please Note:

In certain circumstances TT Club might at their discretion agree to cancel a certificate after shipment has already commenced however you will need to provide an acceptable reason to underwriters and you must provide us with this notice as soon as possible.

Please also Note:

If you are unable to provide a reason that is acceptable to TT Club you will be liable for payment of the premium.

What do I do if I have one shipment where the insured interest falls in more than one category?

To ensure that you receive the correct rates, terms and conditions for each category of goods, you must issue a separate certificate for each category with the sum insured split in accordance with instructions received from the client.

If the entire shipment is in a Full Container Load then you may choose "Full Container Load" when issuing the certificate.

If I cannot get onto the Internet insurance site or access the Internet, and I need to insure a shipment, what do I do?

If, for any reason, the web site is not available, you can still arrange Marine Cargo Insurance cover by sending an email or fax with the information as follows:

Please Note:

Our Internet system is very reliable utilising the very best up to date technology and our years of experience in this field. However there is always still the possibility that a problem occurs be it either with our system or others. If there is ever a time when you cannot log you can still arrange insurance. The email that we ask you to send serves as proof to Underwriters that you would have insured the goods had you been able to log in. When the site is again available, log in and insure the goods as you normally would. Cover is placed once you have sent the email. Provided that the transit would usually be covered by your policy the prohibition of revealing information supplied by individual Members without permission.
